How CrateSwap handles information
Effective date: September 24, 2026. Last updated:September 24, 2026. This policy describes the CrateSwap application from Southern Official, including its Android and iOS experiences. It is written from the application's implemented behavior and does not promise a feature or retention period that the application does not provide.
Questions about CrateSwap information or an account can be sent to support@southernofficial.com.
Information collected
Information you provide and create
Depending on the features you use, CrateSwap receives and stores the following information in Firebase services. Most of it is linked to your account so the app can show your collection, operate marketplace transactions, protect the community, and deliver notifications.
Account and profile
Email address, Firebase user ID, display name, optional city and state, biography, favorite genres, account settings, and profile photo.
Collection and marketplace
Collection records, wishlist entries, listings, record metadata, descriptions, notes, purchase-related record metadata, offers, trades, counters, ratings, and transaction status.
Messages and community reports
Trade messages, reports, blocking relationships, moderation notes, and other information submitted through safety or feedback features.
Store applications
Optional store application information can include a store name, legal name, description, website, phone number, address, city, state, postal code, and estimated inventory.
Recommendation feedback
The assistant records limited recommendation-use events and feedback, such as a recommendation type, prompt or topic, response, and rating. These records are linked to the account.
Notifications and diagnostics
When notifications are enabled, an installation identifier, platform, and Expo push token are stored for that account. Limited client error information may be stored to investigate lookup failures and other operational problems.
Information handled for app functionality
Camera access supports barcode scanning. Photo-library access supports choosing a profile image and local record-cover or grading-reference previews. The current record-cover and grading-reference previews are not uploaded by CrateSwap; profile avatars are uploaded when you choose one. Discogs lookup queries are sent to the configured lookup service to return release metadata. Radio playback connects to Live365 and may expose ordinary connection information to that provider.
Information CrateSwap does not use
The audited application contains no advertising SDK, Advertising ID or IDFA implementation, cross-app or cross-site tracking, device-location API, contacts integration, payment processor, payment-credential collection, Firebase Analytics initialization, crash-reporting SDK, or performance-monitoring SDK. CrateSwap does not process in-app payments.
Service providers
How information is used and shared
Firebase
Firebase Authentication supports accounts; Firestore stores profiles, collections, marketplace records, messages, reports, notifications, and operational records; Firebase Storage stores profile avatars; Firebase Functions perform trusted backend operations including account deletion.
Expo Notifications
Expo's notification service receives the push-token information needed to deliver CrateSwap notifications after you grant permission. CrateSwap stores the token under your user account so it can manage that installation.
Discogs lookup service
Search terms, barcode or catalog lookup information, and release identifiers are sent through the configured Discogs proxy to return record metadata. CrateSwap does not maintain a separate search-history collection.
Live365 radio
When you play Southern Official Radio, the stream and embedded player connect to Live365. Live365 may process connection information under its own privacy practices.
CrateSwap does not sell user information, use it for targeted advertising, or share it for cross-app tracking. Information is shared with other collectors only where the feature requires it, such as a visible listing, a trade, a message, or fulfillment information shared with transaction participants.
Security and retention
Security, retention, and choices
Security
CrateSwap uses Firebase Authentication, Firestore and Storage authorization rules, authenticated access controls, and a trusted backend for sensitive account operations. No online service can promise absolute security.
Retention
Information is retained while needed to provide the feature, operate marketplace history, protect the community, or complete account-support work. The application does not publish a fixed universal retention period.
User choices
You can edit profile and listing information, manage photo and notification permissions in device settings, stop notification registration, and use the account-deletion options below.
Children
The repository contains no child-directed features or age-assurance flow. CrateSwap is presented as a general collector marketplace; Southern Official should confirm the final store target-audience classification before submission.
Southern Official may update this page when CrateSwap data practices change. The effective and last-updated dates identify the version currently published here.
Account & data deletion
Delete your CrateSwap account
Inside the CrateSwap app
Sign in, open the account-deletion control, and reauthenticate with your current password. CrateSwap then calls its trusted deletion backend. The backend checks active marketplace obligations, sanitizes retained shared history, removes private account data and account-owned Storage files, and deletes Firebase Authentication last.
If you cannot access the app
Use the existing public account-deletion request page. It accepts an email address and optional message, stores the request as pending verification, and does not reveal whether an account exists or delete an account without verified ownership.
Open the existing account-deletion request pageActive trades or unresolved marketplace obligations can prevent deletion. Completed or shared transaction history may retain structural identifiers required for authorization and history integrity; visible names and unnecessary personal details are sanitized. A public request starts identity verification and is not itself direct account deletion. No fixed processing time is promised here because the verified ownership and support process determines the next step.
Community safety
User-generated content and marketplace conduct
CrateSwap includes collector profiles, listings, descriptions, offers, trades, messages, ratings, and store applications. Do not upload content you do not have the right to share, private information about another person, payment credentials, fraudulent listings, abusive content, or misleading record information.
Report
Use the in-app report controls to report a listing or user with a reason for review.
Block
Use the in-app block control to restrict interactions with another user. Trade and message operations check blocking state.
Moderation
Authorized administrators can review reports, remove listings, review marketplace records, add moderation notes, and restrict accounts. The repository does not promise a particular response time or outcome.
Terms & acceptable use
Use CrateSwap responsibly
List only records you own or are authorized to offer. Describe condition, pressing, price, and fulfillment arrangements accurately. Communicate respectfully, honor accepted arrangements, and use public meeting places for local pickup. CrateSwap records offers and fulfillment details but does not provide an in-app payment processor, escrow, shipping-label purchase, or delivery guarantee.
Read the in-app Terms of Service and Community Guidelines before using marketplace features. Questions about an account or safety issue can be sent to support@southernofficial.com.
